Teignbridge Leisure Membership and Facility Use

GENERAL
 
1. Your membership card benefits apply across all Teignbridge Leisure Facilities and must be presented at reception on every visit.
1.1. A photo will be taken and held on our Leisure Management System.
2. All activities are subject to availability and Teignbridge Leisure reserve the right to cancel, amend, suspend or withdraw classes and / or activities at any time. Opening hours may vary around holiday periods.
3. Membership fees are non-refundable and non-transferable.
4. Facilities may become unavailable, e.g. due to adverse weather or planned maintenance etc. These will be advertised prior to closure where possible, and you will be encouraged to use our alternative facilities. Refunds will not be made if other facilities are available unless the closure exceeds a 2-week period.
5. If you are receiving a membership concession, you will need to validate this every 6 months by providing evidence of current continued entitlement as follows:
5.1. Full time Students 16 years old plus - Official confirmation of full time education. (NUS Card does not apply) (Household status does not apply)
5.2. 65 years plus individuals (Household status does not apply)
5.3. Eligibility for concessionary rate – that you are in receipt of any of the following benefits: Foster Carers, Housing Benefi t, Council Tax Support (Single occupancy does not apply), Employment & Support Allowance (income related or support component), Job Seekers Allowance (income based), Disability Living Allowance, PIPS, Attendance Allowance, Carers Allowance, Severe Disablement Allowance, Industrial Injuries Disablement Allowance, Income Support, Incapacity Benefit or Children in Care. Does not include Child Tax Credits. Universal Credit (Those earning less that £435.00 per month).
6. Teignbridge Leisure reserve the right to amend the Terms & Conditions however reasonable notice will be given. Our latest version of the Terms & Conditions will be available on the website.

9. DD will be taken on the 1st working day of the month.
 
JOINING
 
10. The Direct Debit agreement is a legally binding contract between you and Teignbridge Leisure. It represents a commitment by you to remain a member for at least the minimum term and pay all membership fees due.
11. A joining fee is payable when taking out a membership. If you cancel and wish to re-join at a later date, you will be required to pay the fee again.
12. All Direct Debit memberships are for a minimum 6 month contract period and will automatically continue until cancelled.
 
BEING A MEMBER
 
13. Teignbridge Leisure will allow you to change to a new Direct Debit membership within the minimum term agreement. A new signed agreement will be required and a new 6 month minimum term will apply.
14. When a Junior member reaches the age of 16, the Direct Debit membership continues automatically changing to a full price Adult package and the direct debit amount amended to reflect this unless you notify us to cancel the membership or that you are eligible for concessionary rate.
15. A £12.50 charge will be made for all failed Direct Debit collections.
16. Failure to pay all applicable charges will result in debt recovery actions being invoked.
17. Memberships will only be suspended on proven medical grounds, or at the discretion of the Leisure Manager. Suspensions must be for full months. Only 1 suspension is permitted within any 12 month period. The Direct Debit must not be cancelled during your suspension, as payments will need to re-start on your return to active membership.
17.1 Please note: A membership suspension fee will be charged at £5 per month.
 
CANCELLING
 
18. From signing there is a 14 day cooling period where you may cancel this agreement. (Initial set up fees are non-refundable. Facilities can be accessed for the period of time you have paid for)
19. Notice of cancellations must be in writing to the Leisure Admin Team. Please refer to point 7 for the address.
20. The earliest cancellation date will be the end of the payment period in which the 6 month term expires. After the 6 months this contract will continue to roll.
21. All memberships will run to the last day of the month.
22. Notice of cancellation must be given and made prior to the 16th of the month. You must not cancel the Direct Debit instruction until this notice period has expired as all payments due within the notice period must be made. It is your responsibility to ensure you have given Teignbridge Leisure effective notice.
 
ATTENDANCE & FAIR USAGE POLICY
 
23. All leisure users who fail to attend and/or cancel within 4 hours on three occasions within a 30 day period will lose their booking privileges for a month.
24. Teignbridge Leisure reserves the right to levy an additional fee should a member/non-member fail to attend any activity reservation they have made. This fee will be at the standard price applicable.
25. When booked into a class or activity, you must arrive for the advertised start time; otherwise you may lose your place. Instructors reserve the right to refuse entry to late arrivals.
26. Notice of cancellation must be given at least 4 hours prior to the booking otherwise a fee will be retained for non-members and applied to members’ accounts at the standard price of the activity.
27. Teignbridge Leisure reserve the right to limit class attendees when 2 of the same classes are consecutive in the timetable and the demand outweighs available capacity.
28. A gym induction must be completed prior to usage of the Fitness Suites.
29. Last entry no later than 30 minute before closure.

Children’s Activities

 
 
General
1. Please ensure that children wear suitable clothing for the activity that they are participating in. 
2. All staff involved in our children’s activities have been checked through the Disclosure and Barring Service (DBS) and have received safeguarding children awareness training. On occasions staff may have to assist your child when close contact is required e.g. changing clothing, showing the correct way to hold sporting equipment, assistance with toileting / nappy changing or applying sun cream. 
3. Please collect your child straight away if we notify you that they are ill, or arrange for somebody to collect them. 
4. We accept no responsibility for any personal loss which may be incurred, whilst participating in our children’s activities. 
5. Please bring with you all items your child will need such as nappies, wipes, bottles, change of clothes. 
6. Fire and safety regulations must be adhered to. The Emergency Action Plans are available upon request. 
7. If you have any special requests, please ask our staff when booking your activity who will be able to help.

Bookings
9. Pre-booking is required as places are limited. Places are allocated on a first come, first served basis. 
10. Please note minimum numbers are set for each activity. Unfortunately if these are not met the activities will be cancelled with at least 48 hours’ notice. If we cannot contact you, an answer phone message will be left. 
11. Please give us sufficient notice if cancelling your space; this is to allow us adequate time to contact customers on the waiting list. 
12. For parents of children eligible for Tax Credits, please retain your till receipts for your records, as unfortunately we are unable to print them at a later date. 
13. Payment is required at the time of booking. 
14. In the unlikely event of a booking becoming unavailable due to an event or gala etc we will offer an alternative location or full refund. 
Holiday Clubs / Outdoor Pursuits: 
15. Children must bring ample drinks, a packed lunch if the activity is running all day and sun cream during hot sunny weather. We recommend putting an ice pack in your child’s lunch box during warm weather. 
16. We recognise the positive benefits of a healthy lifestyle; to promote this we strongly recommend that you do not pack crisps, chocolates and sweets into your child’s packed lunch. 
17. If the activity, or part of the session is run ‘off site’ you are giving permission for your child to be taken to a location that is not a council-run facility i.e. outdoor pursuits. 
18. We recognise the value of adventurous activities as a contributing factor to a young person’s educational and social development. The programme of outdoor pursuit activities aims to encourage the ‘spirit of adventure,’ develop self-confidence and a sense of achievement. 
19. If an activity involves swimming, you are agreeing to your child participating in a swimming session at one of our centres, or approved Leisure Park. 
20. We will always use vehicles that are fully insured and carry seatbelts for trips away from the centre. 
21. Mobile phones, electronic games or items of value are not permitted – please do not bring them to the centre. 
22. Holiday activities will only be refunded when a valid doctor’s note is provided or if insufficient numbers enrol and an activity subsequently is cancelled. If you wish to cancel a booked activity, you will be given the opportunity to transfer your booking to another day / activity, of the same value (subject to availability). If your booking cannot be transferred, we will issue a credit to your child’s account. We will only transfer this once. 
23. Please refer to our behaviour policy for guidance on children’s behaviour. Should a child compromise our adult to child staffing ratios, they will need to be collected straight away to ensure that the safety of the group is maintained. 
 
Junior Classes / Sports Courses: 
24. Parents must remain on-site for all junior classes and swim school activities. Parents are responsible for their child at all times.
25. Sports Courses include Swimming Lessons and Trampolining. 
26. Jam Packed Members are only allowed 1 Sports Course included in their package.  In addition members can do Intensive Swimming Lessons.
27. If you sign up to a swimming lesson or Trampolining course then you are given a 14 day cooling off period in which time if you decide that it’s not the course for you/your child then you are entitled to a refund for the remainder of the course.  Please note:  Pay as you go Trampolining (which can only be booked 10 in advance for members and 7 days for non-members) and Intensive swimming courses do not entitle you to the 14 day cooling off period.
 
Birthday Parties: 
28. We will make every effort to ensure the safety of children, however parents / guardians must ultimately accept responsibility for the welfare and behaviour of all children within the group. Children must not be left unattended at any time. 
29. 7 days’ notice of cancellation is required to be eligible for a refund. 
30. Before you photograph any children in your party, please ensure you have parental consent. 
31. No party can be booked for more than the maximum number stated for the party. 
32. Parties are subject to availability; we recommend that you book well in advance to avoid disappointment. 
33. Your own birthday cake may be brought along, you must provide your own candles, matches/ lighter and knife. 
34. There must be the correct ratio of adults to children at your party: 
a. Children under 8 years – 1 adult per 8 children 
b. Children over 8 years – 1 adult per 12 children 
35. Supervision ratios for pool parties are the same as normal pool supervision ratios. 
36. Please do not bring helium balloons.
